1. Introduction
This Privacy Policy explains how the ThaiRakRot platform (hereinafter the Platform) collects, uses, stores, and protects personal data when you visit or use the service for vehicle rental operations and technical condition tracking. This policy applies to the ThaiRakRot website and to the ThaiRakRot mobile applications for iOS and Android. By using the Platform, you acknowledge that you have read this policy.
2. Data stored in the user’s personal account
When you create and manage a personal account, the Platform may store: • account identifiers: username, authentication credentials or OAuth identifiers, and optional email address; • profile details you choose to provide: nickname, photo/avatar, country, and short about text; • account preferences: language, theme, desktop layout, and similar settings; • data you enter for your own fleet and maintenance: vehicles, technical condition notes, service schedules and records, reminders, and related media; • business workspace data linked to your account when you operate or work at a company / rent point (company and point settings, roles, invitations, and operational history). These account data are used to identify you on the Platform, keep your workspace, and provide the features you enable.
3. Customer data entered by a company / rent point for booking and vehicle issue
Separately from a user’s personal account, companies and rent points enter customer data when creating a booking or issuing a vehicle. This workflow requires entry of personal information about the renter (or booking customer), including: • first name and last name; • phone number; • identity / travel documents (for example passport details) and, where applicable, driver licence details; • residential address; • and other rental details needed for the contract and operations (dates, vehicle, payments, deposits, delivery, and related notes or media). Such data are entered by staff of the relevant company or rent point (or by the customer through booking forms provided by that company / rent point) and are stored in the context of that business workspace so that booking, issue, return, contracts, and customer history can be processed. The Platform processes these data as part of providing the rental operations software to the company / rent point. Companies and rent points are responsible for having a lawful basis to collect and process customer data under applicable law and for informing their customers as required.
4. How the Platform uses data
The Platform uses personal data to: • provide account access, fleet tracking, rent-point operations, booking, and vehicle issue/return features; • generate and store rental contracts and operational records; • maintain security, troubleshoot issues, and improve reliability; • process payments or subscription status when paid plans are used; • send service-related communications (for example account or operational notices). The Platform does not sell personal data.
5. Cookies
The Platform uses cookies and similar technologies for essential functions (session, authentication), preferences (language, theme), and aggregated usage statistics. You can limit cookies in your browser settings; some features may not work correctly without essential cookies.
6. Sharing with third parties
Data may be shared only with service providers that help operate the Platform (hosting, storage, payment processing, email delivery), and only to the extent necessary. They are required to protect the data and may not use it for their own marketing. Data may also be disclosed if required by law. Customer data entered by a company / rent point remains available to authorised users of that company / rent point workspace.
7. Retention
The Platform retains personal and operational data while the account or business workspace is active and as needed to provide the service, keep rental history, resolve disputes, and comply with legal obligations. You may request deletion of your account; some data may be kept in anonymized or backup form for a limited period where required by law. Companies / rent points control retention of customer records they create within their workspace, subject to Platform backups and legal requirements.
8. User responsibility for local law
You are solely responsible for complying with the laws of your country of residence (or citizenship), including rules on personal data. If applicable law prohibits cross-border transfer or storage of personal data outside that country, you must immediately stop using the Service and delete your account. Companies and rent points are responsible for lawful collection and processing of customer data they enter. The Service is not liable for your failure to comply with local legal requirements.
